1. Information we collect

Account data: name, email, password (stored as a one-way hash) and your organization. If you sign in with Google, Apple or Microsoft, we receive the name, email and account identifier supplied by that provider through authentication services, including Firebase Authentication.

Content you create: audio or video you record or upload, transcripts, summaries, tasks and documents.

Technical usage data such as access times, IP address and error logs, used for security and troubleshooting.

2. How we use it

To transcribe and summarize your content, we send audio and text to OpenAI for summaries and RunPod or OpenAI for transcription, as configured by your administrator. Your data is not used to train models.

To send necessary emails such as verification codes, account approvals and replies to your support requests.

We do not sell personal data and do not use your content for advertising.

3. Google Drive and OneDrive

When you import a document from a link, we download only the file you specify. If you connect a Google account, we request read-only Google Drive access solely to download the files you choose to import.

RecapBox's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not read, store or share any other files in your Drive, and we do not use Google data for advertising or to train AI models.

You can disconnect at any time in Settings or at myaccount.google.com/permissions.

4. Who can see your data

Personal accounts: only you. Organization accounts: approved members of the same organization share events.

Oneable administrators access data only when needed to operate the service or at your request.

5. Retention and security

Audio and documents are stored in DigitalOcean Spaces in Singapore. Account data and notes are stored on our service servers. Data is transmitted over HTTPS and file access requires authorization.

Recordings are retained under your plan policy. Transcript, Summary and Action items remain while your account is active. When you delete files or request account deletion, data is removed within 30 days.

6. Your rights

You may request access, correction, a copy or deletion of your personal data under Thailand's Personal Data Protection Act B.E. 2562 (2019). Contact us via the Support page or [email protected].
